If a user has a mailbox and has been given the Dynamics 365 for Outlook Security Role in CRM, you must take additional steps to deploy the add-in and enable the mailbox to utilize the feature.
There a few ways to navigate to User Mailboxes, but I will outline simple navigation.
- Step 1: Make sure that the User has the Dynamics 365 for Outlook security role
- Step 2: Approve and Enable the mailbox *Global Admin Role Required to Approve and Enable Mailbox*
- Navigate to Power Platform admin center (https://admin.powerplatform.microsoft.com/home)
- Select Environment from the left-hand site map, then select the environment from the list
- Select Settings from the top menu ribbon
- Under Resources, select Dynamics 365 App for Outlook
- Click the "Setup Server-side synchronization" link to open Mailboxes
- Change the view to Active Mailboxes
- Scroll or use the search to find the user and open the record by clicking on the Name
- On the Mailbox record, first select Approve Email and click OK on the Approve Primary Email dialogue that pops up
- After a few moments, click Test & Enable Mailbox and OK on any dialogue that pops up
- Return to the Active Mailboxes view, and refresh the data until the following columns reflect Success:
- Incoming Email
- Outgoing email
- Appointments
- Navigate to Power Platform admin center (https://admin.powerplatform.microsoft.com/home)
- Once these three columns display "Success" return to the previous tab (Power Platform Admin Center > Setting > Dynamics 365 for Outlook)
- The "Automatically add Dynamics 365 App for Outlook to all eligeble users" should be checked in most tenants. If it is, you are finished.
- You can check the status of the app for that user by refreshing the All Eligible Users view and checking to see if the status for the user is "Added to Outlook"
- The "Automatically add Dynamics 365 App for Outlook to all eligeble users" should be checked in most tenants. If it is, you are finished.
- The User should now be able to launch the add-in without error:
- The window that will be displayed will prompt the user to sign into their Microsoft account
- If the user has signed in recently, the actual sign in may be skipped
- When the add-in loads, they should see something similar to the example below:
